Last updated: February 13, 2026

Earth Elegance Events ("Earth Elegance Events") respects your privacy and is committed to protecting your personal data. This Privacy Policy explains what we collect, how we use it, and the choices you have when you use the Platform.

1. Data Controller and Contact

Earth Elegance Events is responsible for how your personal data is processed on the Platform. If you have questions or requests about privacy, contact us at privacy@eartheleganceevents.com.

2. Information We Collect

We collect information to provide and improve our services. This may include:

  • Account information: Name, email address, password hash (stored server-side), and email verification status/codes.
  • Profile information: Phone number and other profile fields you choose to provide.
  • Contestant application information (if you apply): Personal details such as date of birth and/or age, nationality, state/LGA, state of residence, occupation/school, height, social media handles, pageant answers, and emergency contact information.
  • Uploaded media: Photos and documents you upload during onboarding or participation. Headshots and full-length photos may be displayed publicly as part of your contestant profile (if approved by the event). Government ID uploads are treated as private verification documents and are not displayed publicly.
  • Voting and transaction information: Vote counts, timestamps, event/contestant references, and payment references from payment providers. We do not store full card details.
  • Technical and usage data: IP address, device/browser information, pages visited, and diagnostic logs (for security, fraud prevention, and reliability).
  • Cookies: Session cookies and related identifiers used to keep you logged in and protect the Platform.

3. How We Use Your Information

We use personal data for purposes including:

  • Providing the Platform (accounts, contestant applications, voting features)
  • Processing payments and confirming votes/fees
  • Identity and eligibility verification for contest workflows
  • Fraud prevention, abuse detection, and security monitoring
  • Customer support and dispute resolution
  • Analytics to improve performance and usability
  • Compliance with legal obligations and responding to lawful requests

4. Public Display and Consent

Some information is intended to be public as part of contests and voting. This may include contestant name, photo(s), category, contestant number, and vote totals. Verification documents (such as government ID) and emergency contact information are not intended to be public and should only be used for verification and event administration.

By submitting media, you confirm you have the rights to upload it and you consent to its use for displaying your contestant profile and promoting the event on the Platform (subject to event approval and applicable rules).

5. Sharing and Disclosure

We may share your information with:

  • Event organizers: limited data required to run the contest (for example, reviewing applications and managing contestants). Organizers are responsible for their own compliance and lawful use of data they access.
  • Payment providers: to process payments (for example, Flutterwave). These providers process payment details under their own terms.
  • Authentication providers: if you use social login (for example, Google OAuth).
  • Service providers: hosting, analytics, email delivery, and security tooling, acting under our instructions where applicable.
  • Legal and safety: where required by law, to protect users, or to enforce our Terms.

6. Data Retention

We retain personal data only as long as necessary for the purposes described above, including legal, accounting, and security needs. Typical retention periods include:

  • Transactions: retained for audit/accounting purposes (often up to 7 years, depending on jurisdiction and requirements).
  • Government ID uploads: retained for verification during the event, then deleted or anonymized after the event closes plus a limited period (default: 90 days), unless required for disputes or legal obligations.
  • Accounts: retained until you request deletion or we no longer need the data for legitimate business purposes (for example, fraud prevention and legal compliance).

7. Data Security

We use reasonable administrative, technical, and organizational measures designed to protect your data, including access controls and encryption in transit (HTTPS). No method of transmission or storage is 100% secure, but we work to reduce risk and respond to incidents.

8. Your Rights and Choices

Depending on your location, you may have rights to access, correct, delete, or object to certain processing of your personal data, and to withdraw consent where applicable. To make a request, contact privacy@eartheleganceevents.com. We may need to verify your identity before completing certain requests.

9. Links to Other Sites

Our Service may contain links to other sites that are not operated by us. If you click on a third party link, you will be directed to that third party's site. We strongly advise you to review the Privacy Policy of every site you visit.

10. Children's Privacy

The Platform is not intended for individuals under 18 unless an event explicitly allows participation and the organizer has lawful consent and safeguards in place. We do not knowingly collect personal data from children without appropriate authorization.

11. Changes to This Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page. You are advised to review this Privacy Policy periodically for any changes.
